Basic guidelines for searching and creating catalog records

Adding an Holdings to Voyager

After your record is uploaded to Voyager, there a few more steps required to complete the record. One of these is to add the Clark's holdings.

1. Search for the record in Voyager (either under "Title Search (staff)" or by OCLC/RLIN number). When searching by title, make sure that the OCLC number in 035 of the bib record matches with the OCLC record you create or revised.

2. Choose "Get HOL"

2a. LEADER:  should be system supplied, but check in the beginning

Records status:  all new records will be coded n = new; change to c when editing an existing record; don’t know when to use d.

Type of Record & Encoding Level:

For serials:  y & 3

For single-part monographs:  x and 2

For multi-part monographs:  v and 3

2b. 007 FIELD:  Usually system supplied, but if not, copy the appropriate 007 field from the bibliographic record. If more than one 007 field is appropriate, copy the first one.

2c. 008 FIELD:

       Receipt status: 2 (complete) for monographs, and rarely, 4 (currently received), or 5 (not currently received) for serials

Method of acquisition:  p(urchase), g(ift),  u(nknown), or z (other source)

Cancellation date:  blank

General Retention policy:  8

Specific Policy Retention:  leave blank

Completeness, monographs: single-part, code as 4; multi-part, code as 1 (all v.), 2 (some v. missing); or 3 (just scattered v.)

Completeness, serials: code 1 for complete set of dead A serial; code 2 for incomplete set of a “dead” serial or for a serial still being published; code 3 for scattered issues only

Number of copies:  Ignore (for now)

Lending policy:  Will not lend

Reproduction policy:  Unknown

Language:  leave blank (for now)

Copy report:  0 (for now)

Date of report:  should be system supplied.

3. Copy |a, |d, and |e from the 541 field from the bib record into a new 541 field in the HOL record, under the call number.

4. Save to DB

5. Get Bib

6. Delete the 541 field in the bib record

7. Add 948 at bottom with your three-letter initials, today's date, and 1loc in |d

8. Save to DB
