The "Cochrane Handbook for Systematic Reviews of Interventions" describes best practices for setting up data extraction. Below are some valuable tips for any systematic review or scoping review project.
5.5.2 Who should extract data? https://www.cochrane.org/authors/handbooks-and-manuals/handbook/current/chapter-05#section-5-5-2
"As a minimum, information that involves subjective interpretation and information that is critical to the interpretation of results (e.g. outcome data) should be extracted independently by at least two people... It is important that everyone involved in data extraction has practice using the form and, if the form was designed by someone else, receives appropriate training."
5.5.3 Training data extractors - https://www.cochrane.org/authors/handbooks-and-manuals/handbook/current/chapter-05#section-5-5-3
"Training of data extractors is intended to familiarize them with the review topic and methods, the data collection form or data system, and issues that may arise during data extraction. Results of the pilot testing of the form should prompt discussion among review authors and extractors of ambiguous questions or responses to establish consistency. "
Even if you do not performa a meta-analysis (such as in a scoping review), you'll extract data from included citations. Refer to your protocol to determine what data will be useful to examine your hypothesis.
Just like other elements of this process, each data source should be extracted by two members of the team, and any conflicts/discrepancies resolved by a 3rd team member or through conversation.
There are many tools you can use in data extraction, and to some extent the amount and type of data you collect will help determine which tool you'll use. Cost is another significant factor.
Tools such as Covidence, JBI Sumari, DistillerSR, or RevMan include extraction templates which are (to one degree or another) customizable. However, some teams require more customization than is available and may choose to use other products such as REDCap to extract data. Or, if your data needs less/no customization, teams can choose to use Excel for extraction. Choose the tool that is best for the task.
